Verin Legal

Privacy Policy

Last updated 16 October 2026

Verin Legal receives evidence a law firm's client sends in, keeps it unaltered, and hands the firm back an organised record. This policy explains what we hold, why, and who can see it.

Who this covers

Verin Legal ("Verin", "we") is operated by [LEGAL ENTITY NAME], [state] — [registered address]. This policy applies to www.verinlegal.com and to the Verin application at app.verinlegal.com.

Two different people are covered here, and they are covered differently.

Law firms are our customers. A firm's staff holds an account, opens matters, and controls what happens to the evidence in them. Our agreement with the firm is in the Terms and Conditions.

A firm's clients are not our customers and have no account with us. A client sends photos, screenshots, documents or recordings to an address or number their own law firm gave them. We receive those items on the firm's behalf and hold them for the firm. We are a service provider to the law firm; the firm decides what is collected, how long it is kept, and who at the firm sees it. If you are a client and have a question about your information, your law firm is the right first contact, and we will help them answer it.

One thing to be plain about, because it shapes everything below: Verin is a filing and organising tool, not a law firm. We do not give legal advice, we do not decide what any item means, and we do not act for a firm's client.

What we collect

Evidence sent to a matter

Each matter has its own email address and a texting number. Whatever a client sends to those — photos, screenshots, documents, video, audio, and the message text itself — is received and kept exactly as sent. We also record what any message carried with it: the sending phone number or email address, when it arrived, and the file's own details.

Text and picture messages

When someone texts our toll-free number, we receive the message, any attached media, the sending phone number and the time. We use that number for one purpose: working out which matter the message belongs to. Nothing is sent back to it except, where a firm turns it on, a short confirmation that the item was received.

What the firm types in

Account details for the firm's staff, matter names and numbers, the client's name and contact details as the firm enters them, and the firm's own notes.

What the software records about itself

Sign-in times, actions taken in the app, error reports, and — when someone uses Send feedback — the page they were on and their browser. A feedback report never carries matter names, client names, message text or file names; a screenshot is attached only when the person chooses to attach one.

What we do not collect

We do not use advertising trackers or third-party analytics that profile visitors across sites. We do not buy information about anyone. We do not ask a firm's client to create an account, install anything, or agree to anything with us.

How we use it

We use what we receive to do the job the law firm hired us for, and for nothing else:

  • To file each item to the right matter and keep it unaltered.
  • To fingerprint it, add it to the matter's record and obtain an independent time-stamp, so the firm can show later that nothing changed.
  • To read it — dates, messages, who said what — and describe it for the firm's staff.
  • To mark personal details that may need redacting before anything leaves the firm. Nothing is masked until someone at the firm confirms it.
  • To build the records, chronologies and exhibit productions the firm asks for.
  • To keep the service running, secure and supported.

We do not sell personal information, and we do not share it with third parties for marketing purposes. Mobile phone numbers and the content of text messages are used only to deliver the service to the law firm. No mobile information is shared with third parties or affiliates for marketing or promotional purposes. No one's phone number, email address or message is used to advertise to them, and nothing in a matter is used to advertise to anyone.

We do not use the contents of a firm's matters to train artificial-intelligence models, and our AI providers are contractually prevented from doing so with what we send them.

Who else sees it

Only the companies that run the service for us, each under contract and each only for its part:

WhoWhat they handle
Google Cloud / FirebaseHosting, database and file storage, in the United States
TwilioDelivery of text and picture messages to our intake number
PostmarkReceiving email sent to matter addresses, and the few messages we send
AnthropicReading documents, screenshots and messages
Google (Vertex AI)Reading video and audio
DigiCertIndependent time-stamps proving when an item existed
SpiceworksOur support help desk
[Payment processor]Firm subscription billing. They never see matter content

Beyond those, we share a firm's information only where the firm tells us to — for example sending a finished record to that firm's own practice-management system — or where the law requires it. If we are ever legally compelled to produce a firm's data, we will tell that firm before we do, unless we are forbidden from telling them. Evidence held for a law firm may be privileged, and the firm, not us, should be the one answering for it.

We do not transfer a firm's matter data outside the United States.

Security, retention, and who at Verin can see a matter

Data is encrypted in transit and at rest. Every matter carries the firm it belongs to, and the application will not serve one firm a matter belonging to another. Access inside a firm is controlled by that firm's own administrator.

People at Verin

Our servers process the contents of a firm's matters — that is how the reading, the flagging and the record-building work. Our staff do not. Day-to-day accounts hold no access to matter data; reaching it takes a separate, deliberate step that we take only when a firm asks us to look at something, and every such access is recorded. We will not browse a firm's matters out of curiosity, and we will not use them as examples, demonstrations or marketing material.

How long we keep things

A firm's matter data is kept for as long as the firm's account is open, because the record's value is that it stays complete. When an account closes, the firm may export everything first; we then delete the firm's data within 60 days, except where we are required to keep something longer. Backups are kept for 30 days and then overwritten. Support reports and billing records are kept for 7 years.

A firm can ask us to delete a specific matter at any time, and we will, within 30 days, including from backups on their next cycle.

No system is perfectly secure. If a breach affects a firm's data, we will tell that firm without undue delay and within any period the law requires, with what we know and what we are doing about it.

Your choices, and reaching us

Stopping texts

Reply STOP to our number at any time and we will send you nothing further. Reply HELP for help. Stopping messages from us does not close your matter with your law firm — speak to them about that.

Seeing, correcting or deleting information

If you are a firm's client, ask your law firm; they control the matter and we will help them act on it. If you are a firm, you can export or delete anything from inside the app, or ask us.

State privacy rights

If you are in California, Colorado, Connecticut, Utah or Virginia, you have rights to know what is held about you, to have it corrected or deleted, and not to have it sold — we do not sell it. Where Verin holds information as a service provider for a law firm, we will pass your request to that firm and support them in answering it. We will not discriminate against anyone for exercising these rights.

Children

Verin is for law firms. We do not knowingly collect information directly from children. Evidence in a matter may concern a child — custody matters often do — and we treat it with the same care as everything else in the record.

Changes

If we change this policy we will update the date at the top, and for a change that matters we will tell firms before it takes effect.
